Merging and Splitting Tasting Notes

The Tasting Notes within vinoEZ start out as data loads usually from someone working in lab where they are testing out the ferments through their lab analysis work. This lab technician structures the lab analysis data into a standard template (spreadsheet) and uploads it into vinoEZ via an import.

There are two key pieces of information with that lab analysis: the vessel and the lot code. This describes the juice/wine that is in a vessel. This combination is typically unique through fermentation. However, there are times when the winemaker will decide to mix or merge these “Vessel/Lots” or split them across into existing “Vessel/Lots”.

To Merge or Split Tasting Notes, go to Tasting Notes > Tasting Notes

Filter the results to locate the Tasting Notes to be merged or split by selecting the filter options and hitting ‘Go’

Once the results are displayed, the Merge/Split mode can be accessed by going to the Options menu above the Tasting Notes grid, and selecting the checkbox against ‘Show Merge/Split Tasting Notes’

This will then collapse the filter bar at the top of the screen and present the Merge/Split Tasting Notes panel at the bottom

Tasting Notes can now be dragged into the ‘From’ and ‘To’ boxes

The following scenarios are possible:

Split

The Split scenario involves one Tasting Note in the ‘From’ section and one or many Tasting Notes in the ‘To’ section

  • This will copy the detail from the Tasting Note in the ‘From’ section into all the Tasting Notes in the ‘To’ section

  • Note: In this scenario, VinoEZ will prevent the adding of any more Tasting Notes in the ‘From’ section by highlighting the ‘From’ box in red.

Once the required notes have been placed into the From and To boxes, select the 'Merge/Split' button.

The 'Lot Info' for each tasting note will then be presented for confirmation. If the 'Lot Info to Derive' checkbox is selected for a data element, the value from the 'From' note will be copied to all the 'To' notes. If it is not selected, the original value on the To note will be kept as is.

Once the data has been reviewed and the resulting values are confirmed, select 'Continue'.

A confirmation will then be shown to confirm the resulting actions.

Select 'Continue' again and all Tasting Notes will be shown.

The Tasting Actions from the 'From' note will then be merged into the 'To' notes (without overwriting Tasting Actions already on the To notes.)

Merge

The Merge scenario will copy the detail from all Tasting Notes in the ‘From’ section into the Tasting Note in the ‘To’ section

Again, after selecting the 'Merge/Split' button, the Lot Info for each note is presented (scroll across to see all the 'From' notes).

In a 'Merge', the 'To' Tasting Note's lot info is derived from the 'From' notes, using the following rules:

    • US Gallons - Adds together the Gallons across the original tasting notes

    • Barrels - Lists all barrels from all ‘From’ notes

    • Tons - Adds together the Tons across the original tasting notes

    • Harvest Date - Defaults to the earliest date on the ‘From’ notes

    • pH - Uses a weighted average, based on Gallons, of the pH across the original tasting notes

    • Brix - Uses a weighted average, based on Gallons, of the Brix across the original tasting notes

    • YAN/mg(L) - Uses a weighted average, based on Gallons, of the YAN across the original tasting notes

    • Yeast - Uses a weighted average, based on Gallons, of the Yeast across the original tasting notes

    • TA (g/L) - Uses a weighted average, based on Gallons, of the TA across the original tasting notes

    • Malic (mg/L) - Uses a weighted average, based on Gallons, of the Malic across the original tasting notes

    • Block - Left blank

    • Comments - concatenates comments from all the ‘From’ tasting notes, comma separated.

If the 'Lot Info to Derive' checkbox is unselected, the original value on the 'To' note will be used.

Once the data has been reviewed and the resulting values are confirmed, select 'Continue'.

A confirmation will then be shown to confirm the resulting actions.

Select 'Continue' again and all Tasting Notes will be shown.

The Tasting Actions from the 'From' notes will then be merged into the 'To' note (without overwriting Tasting Actions already on the To note.)

Treatment of 'From' notes

In both scenarios, there is an option to select to 'Keep', ‘Archive’ or ‘Delete’ the notes in the ‘From’ section of the panel.

  • Keeping the From notes will result in the original From note remaining in the list of active Tasting Notes even after the split/merge.

  • Archiving notes will hide them within the Tasting Notes panel but will still allow them to be viewed by selecting the ‘Archived’ checkbox when filtering Tasting Notes

  • Selecting to Delete notes will result in them being removed completely from the system.
